Seabury Resources for Aging is a private, not-for-profit corporation registered in the District of Columbia, which provides various services to enhance the quality of life for older adults. Overview of the Role


Under the direction of the COO/CAO, the Administrative Assistant is responsible for assisting in the core operations of the Advancement and Executive’s offices. The role will also provide back up to the Administrative Coordinator on office management.

The goal of this position is to keep the operations of the department flowing smoothly. Specific initiatives include CRM (Salesforce) and systems management, donor stewardship administration, volunteer management, special project support and donor research.

Department


The Advancement Department is responsible for Seabury’s communications and fundraising efforts and its work with congregations.


Responsibilities

Key Duties include:

  • Support for Advancement team/COO/CAO

    • Salesforce CRM and Systems Manager

      • Responsible for establishing, monitoring, and training Seabury staff on standard operating procedures (SOP) and using protocols within the CRM and other systems (as needed) to maintain a high degree of data integrity

      • Creates and manages development reports

      • Ensures connected systems are synced and data is up-to-date flowing seamlessly and regularly

      • Supports website (Wix platform), social media and other communications tools

      • Supports staff in events planning and preparation including preparing nametags, assembling packets and other duties

    • Stewardship

      • Processes and acknowledges gifts daily; weekly, monthly, and annual data reporting out of the system and works with Director of Development and CEO to ensure that all real-world interactions with donors and partners are faithfully recorded in the system

      • Works closely with finance and marketing for regular reconciliation of gifts

    • Research

      • Conducts prospect research on individual donors, corporations and foundations

    • Volunteer liaison

      • Point person for managing volunteer engagement at the main office

      • Provides necessary support for accountability and reporting on volunteer hours

  • Support for the CEO

  • Provides routine support to the CEO such as coordinating meetings and communications including correspondence, preparing activity reports, reconciling credit card statements, maintaining calendar, assisting with committees, and providing other administrative support as needed.

  • Communicates, tracks, and updates Board roster.

  • Corporate

    • Serves as back up to the Administrative Coordinator on phones, office coverage and invoice preparation.

  • May coordinate with outside consultants, and vendors.

  • Other duties as assigned.

Key Qualifications


  • Education: Bachelor’s degree preferred but not required

  • Salesforce certification preferred

  • 1-2 years of experience, including related administrative experience which may be gained from internships and volunteer work.

  • Effective team player with excellent interpersonal skills, including the ability to communicate diplomatically and professionally with a wide variety of constituencies

  • Superb customer relations and organizational skills.

  • Proficient with Google Suite and Microsoft office and willingness to learn Mailchimp, Wix and Canva.

  • Effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information.

  • Understanding or Interest in the challenges and opportunities facing the older adults, possessing sensitivity to the needs of older persons.

Work Environment: Standard office environment.

Equipment Used: PC/laptop, computer printer, camera, office copier, telephone, facsimile machine, shredder, and typical office equipment.

Supervisory Responsibility: This position has no supervisory responsibilities.

Salary - 50,000/year
